Personal data processed and method of collection

Your personal data is collected electronically, by automated means, when you fill in the forms on this website or use the chat assistant. The website does not use cookies for advertising, analytics or tracking purposes.

• Identity and contact data: full name, company name, e-mail address, telephone number (contact and quotation forms).
• Request and transaction data: the subject and content of your message, the products and quantities you add to the quote basket, and any notes you add.
• Chat data: the messages you write to the “Erim” chat assistant and any product photos you choose to share.
• Transaction security data: the IP address, date and time and request information recorded by the server when you access the website.

Purposes of processing

Your personal data is processed in order to receive and respond to your quotation and information requests, to prepare prices and supply terms for the requested products, to communicate with you, to generate answers to your product questions via the chat assistant, to ensure the security of the website and to fulfil our legal obligations. Your data is not used for marketing profiling or automated decision-making.

Legal grounds

Your personal data is processed under Article 5(2) of the KVKK on the following legal grounds: processing is directly related to the conclusion or performance of a contract (Art. 5(2)(c)); processing is necessary for the data controller to comply with a legal obligation (Art. 5(2)(ç)); and processing is necessary for the legitimate interests of the data controller, provided that it does not harm your fundamental rights and freedoms (Art. 5(2)(f)).

Transfers

Limited to the purposes above and in accordance with Articles 8 and 9 of the KVKK, your personal data may be transferred to the following groups of recipients. Apart from these, your data is not shared with or sold to third parties.

• The corporate e-mail service provider through which form submissions are delivered (Google Workspace). As the service's servers may be located abroad, this transfer is carried out under Article 9 of the KVKK.
• The artificial intelligence and hosting service providers used to answer the messages you write in the “Erim” assistant (Anthropic PBC, Vercel Inc.; servers located abroad). Chat content is not stored on our website after the answer has been generated.
• The internet service provider hosting the website (for server access logs).
• Where requested, public authorities and institutions authorised by law.

Retention period

Quotation and contact requests are kept for a maximum of 2 years from the conclusion of the request; if your request turns into a commercial relationship, the records are kept for the periods prescribed by the relevant legislation (Turkish Commercial Code and Tax Procedure Law). Server access logs are kept for the period prescribed by Law No. 5651 and related legislation. Data whose retention period has expired is deleted, destroyed or anonymised.

Rights of the data subject

Under Article 11 of the KVKK, you have the right to learn whether your personal data is processed; to request information about it if it has been processed; to learn the purpose of processing and whether it is used in accordance with that purpose; to know the third parties in Türkiye or abroad to whom it is transferred; to request its rectification if it is incomplete or inaccurate; to request its erasure or destruction under the conditions set out in Article 7 of the KVKK; to request that these operations be notified to the third parties to whom it has been transferred; to object to a result to your detriment arising from analysis exclusively by automated systems; and to claim compensation for damage suffered due to unlawful processing.

How to apply

You may submit requests concerning your rights, together with information identifying you, in accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller, either in writing to our address above or by e-mail to info@imtrade.com.tr from the e-mail address registered with our company. Your application will be concluded free of charge as soon as possible, depending on the nature of the request, and within thirty (30) days at the latest; if the process entails an additional cost, the fee schedule set by the Personal Data Protection Board may apply.
